Job Description Summary
Reporting to the Associate Provost for Finance and Planning in the Office of the Provost, the Staff Assistant is responsible for coordinating and managing complex calendar and meeting materials, handling confidential information, managing flow of communication and providing administrative support to reporting directors as needed.
This position is also responsible for ordering and maintaining office supplies for Provost Administrative Affairs, maintenance of the office website, files and databases, development and maintenance of the mission continuity plan. This position will provide administrative back-up support for departments reporting to the Provost, when needed.
Additionally, the Staff Assistant will serve as a liaison for the Provost Center on applicable committees (i.e. mission continuity) and provide research, analysis, reporting, project support and project management as needed.
Job Description
- Provide administrative support to the Associate Provost for Finance and Planning; managing and coordinating complex calendar and meeting materials; submit and approve Concur requests.
- Coordinate and manage certain administrative functions and processes including but not limited to salary increase letters process for Provost Centers (including creation and distribution of letters); maintain, update and communicate administrative procedures guidelines for PAA Office; manage signature process for financial documents.
- Provide general office management services including, but not limited to, building liaison; answering phones; distribution of mail; triaging, directing and potentially answering inquiries; Order supplies for Provost Administrative Office and other reporting offices as needed as a PO Manager; serve as e-ship administrator; hire and supervise work-study students and summer student workers.
- Coordinate, prepare, edit, and review senior level briefing materials for Provost Administrative Affairs areas. Conduct purchasing card reallocation reminders and submission tracking for Provost Centers.
- Provide project related research and writing including editing, compiling and reviewing project related documents and presentations. Complete special projects as assigned.
- Coordinate and support project related meetings for Provost Administrative Affairs Office and provide administrative support to PAA staff as needed.
- Develop and maintain Provost Administrative Affairs Office mission continuity plan; serve as Provost Center liaison.
- Create, maintain and organize office files (paper and electronic), shared drives, databases (including space data), and Website in collaboration with Provost Office.
- Serve as back-up for weekly time sheets processing in Workday; Prepare financial forms for payment processing; handle Ben deposits; Monthly Verizon payment for senior management cell phone usage; Purchasing Card/Meeting Card holder.
Qualifications- A Bachelor's Degree and 3 years to 5 years of experience or equivalent combination of education and experience is required; excellent customer service skills; previous experience managing complex calendars; strong Microsoft Office skills; excellent oral & written communication skills; knowledge of University's financial systems preferred.
