TITLE: Shipping, Receiving and Mail Supervisor

POSITION NO.: P00145

SECTION: Administrative Services/Purchasing and Auxiliary Services

HIRING SALARY: $43,598.31 - $47,748.82 annually; all salary calculations to start at the minimum salary

HOURS: 8:00 A.M. - 5:00 P.M., Monday ‑ Friday

MAJOR FUNCTION: The Shipping, Receiving and Mailroom Supervisor will be housed within the Procurement and Auxiliary Services Division and will report to the Director. This position will perform lead work in the receipt and preparation of college mail, operation of mailing equipment and in the receipt, inspection and distribution of purchased items and equipment. Also, responsible for the general supervision of mail room employees.

Primary duties will include, but are not limited to:

  • Supervise and coordinate the activities of the mail room staff, including but not limited to hiring, training, scheduling and evaluating performance.Coordinate and substitute for Courier as necessary. Develop and implement policies and procedures for the mailroom operations to increase efficiency and ensure compliance with federal and state regulations.
  • Coordinate with Purchasing Department and Business Office regarding purchase orders, which might include reviewing invoices for payment, confirming their accuracy. Submitting purchasing requisitions for department needs. Coordinates special purchase and mailing requests with college departments. Participate in various meetings and seminars.
  • Maintain accurate records of all shipping, receiving, and mail operations, including inventory of supplies. Resolve issues related to lost or damaged items, and handle claims with shipping companies.
  • Prepare monthly postage and supply accounting reports (including charge-back), filing required records and documents, and confirm their accuracy.
  • Ensure the mailroom equipment is maintained and functioning properly; coordinate repairs and upgrades when necessary. Enforce safety protocols and procedures in the work environment.

MINIMUM TRAINING AND EXPERIENCE: Graduation from a standard high school or equivalency diploma and three (3) years experience in mailroom operations or a similar field is required, with at least one year in a supervisory role being preferred. Associate or higher degree is preferred and may substitute for the required experience.

SUCCESSFUL CANDIDATE WILL DEMONSTRATE THE FOLLOWING: Proficient knowledge of postal regulations, shipping and receiving practices, and standard mailroom procedures. Strong leadership and personnel management skills. Excellent organizational and communication skills. Attention to detail and problem-solving skills Ability to work outdoors in all types of weather may be required to work and certain physical abilities as needed. Must be able to lift up to 75 pounds occasionally Regularly required to stand, walk, reach, and bend. Ability to operate standard office and mailroom equipment. Ability to perform repetitive tasks such as lifting, sorting, and carrying.
