Job Description

Position Summary

The Senior Administrative Assistant provides a wide range of support to the Heads of the U.S. Legal and Finance Functions and is accountable for achieving objectives and completing tasks in a timely and effective manner, maintaining a professional working environment and demeanor, and demonstrating high integrity, accuracy, confidentiality, and accountability. This position also serves as a liaison for the department with other functional areas and company headquarters.

Key responsibilities

  • Autonomously and professionally carries out administrative and support tasks such as meeting and travel planning and expense reporting
  • Drafts general legal and office correspondence including template legal agreements and various corporate documents, and arranges for electronic and/or physical execution and delivery of same
  • Creates executive-level communications in Microsoft applications and works on company's financial systems and tools, with technical content provided by others and minimal creative supervision
  • Provides internal meeting support such as planning, organization follow-ups, meeting set-ups, catering, and scheduling; Coordinates conference calls, maintains and revises the department calendars/agendas as needed
  • Organizes and manages schedules during visits of corporate senior leaders and guests from outside the Dallas area
  • Initiates and organizes team engagement and team building events to help foster Galderma culture across Finance and Legal functions
  • Works collaboratively with peers across the organization, shares and adopts best work practices with an inclination to drive continuous improvements in the day-to-day operations
  • Works with team members to facilitate budgeting, forecasting, POs, and payment to external vendors
  • Other duties as assigned

Preferred Education, Knowledge, Skills, and Abilities
  • Bachelor's degree or equivalent experience preferred
  • Minimum of five (5) years related administrative support experience in a law firm or corporate environment is required
  • Must be able to demonstrate a high level of competency relating to administrative and clerical responsibilities, procedures, and systems
  • Must have experience managing projects from initiation to completion
  • Advanced computer and technology skills required, including the entire Microsoft Platform (Outlook, Excel, PowerPoint, Teams and SharePoint (including various SharePoint knowledge and workflow management tools such as Power Automate, Power BI and Task Planner)), DocuSign, Oracle, Oracle Cloud, and Concur
  • Must have the ability to work on company's financial systems and tools
  • Must have the ability to work in a fast-paced environment, managing multiple projects and prioritizing as necessary
  • Must be willing and able to work onsite in the Dallas office at least 2 - 3 days per week, with the ability to come in as needed for meetings and events
  • Demonstrate an attitude to work collaboratively with peers across the organization
  • Experience in effectively and concisely communicating with all levels, including senior executives
  • Excellent written and verbal communication skills and attention to detail
  • Hands-on work ethic with the ability to work effectively within a team environment
  • Demonstrate a high level of integrity, confidentiality, and sense of urgency
