About the Department

The UChicago Justice Project is a research group at the University of Chicago directed by Sociology Professor Robert Vargas devoted to studying the political economy of cities and neighborhoods. Both interdisciplinary and multi-method in nature, the Justice Project is conducting multi-city projects on historic homicide patterns, redistricting, and policing. Our research aims for structural and institutional change through greater accountability, transparency, and democratic governance.

Job Summary

The job provides business support for non-technical (not information technology or construction related) projects from conception to completion. Performs administrative duties as they relate to the assembly of teams and the development of detailed work plans, schedules, project estimates, resource plans, and status reports.

The job provides administrative, research and logistical program support for 1) the UChicago Justice Project, 2) departmental Initiative for Critical Social Science, and 3) an inter-institutional policing research network. This role is responsible for ensuring compliance of research activities within
institutional, state, and federal regulatory policies, procedures, directives, and mandates. The Program Coordinator also provides direct administrative support for Professor Robert Vargas.


  • Organizes and manages the execution of programs and research lab projects
  • Coordinates all calendars and schedules for Professor Robert Vargas on a daily, weekly, monthly, and annual time horizon.
  • Communicates effectively on a daily basis to discuss and triage urgent issues, and to resolve meeting conflicts and scheduling challenges.
  • Supports planning and execution of events: including maintaining the UChicago Justice Project website, producing email announcements, arranging guest travel, room reservations, and event catering.
  • Curates and sends quarterly UChicago Justice Project newsletter.
  • Business coordination: including processing payments, administering grant programs, (including collating information and corresponding with applicants and grantee), maintaining research budget.
  • Coordinates all local, regional, and national travel arrangements for the UChicago Justice Project, business expense reimbursement, Oracle and Kronos management for CFQ cost centers as requested, supply ordering, check requests, requests for reimbursement, invoice payment, etc.
  • Assists with budget reconciliation, supply ordering, and file system development and/or maintenance.
  • Supports the lab's research by providing administrative and project management support and by providing ad hoc support for key strategic and operational initiatives including compiling and managing data, preparing spreadsheets, reports, etc.
  • Takes notes or records research team meeting minutes as needed. Follows up on action items and track project progress.
  • Coordinates special projects as directed by Professor Robert Vargas. Prepares write ups for recommendations for operational and administrative problems. Prepares financial and/or administrative reports.
  • Approves undergraduate and graduate Research Assistant time-sheets on a weekly or bi-weekly basis.
  • Assists in coordinating daily projects, including preparing and maintaining non-technical (not information technology or construction related) project plans, budgets, and staffing requirements.
  • Supports or independently performs administrative tasks such as arranging meetings, developing agendas, and preparing progress reports.
  • Performs other related work as needed.

Minimum Qualifications

Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).
Work Experience:

Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.


Preferred Qualifications

  • Bachelor's degree.
  • Advanced degree.

  • Five years of increasingly responsible project support or administrative experience, preferably in a complex professional office setting.

Technical Skills or Knowledge:
  • Documented proficiency and advanced skills in a variety of computer software applications, including word processing, spreadsheets, presentation applications.
  • Advanced skills in relation to Microsoft Office Suite, Google products, and Slack.
  • Use of administrative IT systems (Oracle, Kronos, Workday).
  • Preferred Competencies:
  • Demonstrates independent problem-solving ability and project management skills.
  • Able to work independently, effectively prioritizing tasks and meeting deadlines.
  • Analytical ability to track expenses and effectively manage multiple projects at onetime.
  • Demonstrates flexibility, eagerness to collaborate, and confidence to learn new systems.
  • Independently and professionally interact with students, faculty, and staff at the University, both internal and external; strong interpersonal skills.
  • Strong written and verbal and interpersonal communication skills.
  • Sound critical thinking skills.
