Job Summary

This School of Nursing (SON) staff member supports student academic activities, creates/updates student databases and creates reports, and assists with graduate program secretarial needs.This School of Nursing (SON) staff member supports student academic activities, creates/updates student databases and creates reports, and assists with graduate program secretarial needs. Flexible hours up to 25 hours/week (some evenings included)

  • Assists the nursing administrative assistant to plan and implement induction and recognition ceremonies.
  • Assists the nursing administrative assistant to create/print certificates/name cards, order food, and reserve facilities for student events.
  • Maintains an accurate database of all undergraduate students, updating every semester, including correct placement in a cohort. Creates and updates cohort specific distribution lists, ATI orders, etc. Maintains cohort databases of pre-licensure and RN to BSN students from admission through graduation. Database includes admission information, IU cumulative GPAs, semester of admission, TEAS results, ATI results, course grades, failures/withdraws/stop-outs with reasons, specific clinical rotation being tracked, time to graduation [after admission to program] and RN-NCLEX results.
  • Sends information to appropriate student groups regarding activities and announcements.
  • Maintains undergraduate preceptor and mentor databases ensuring they are complete and accurate.
  • Assists the nursing administrative assistant to prepare and fact check database of admission applicants, ensuring that information is accurate each semester. Under the direction of the assistant deans, prepares and delivers information to applicants about admission to the school, and other key communications.
  • Update scores in ATI charts and in cohort databases. Make ATI charts available to Evaluation Committee Chair at end of each semester.
  • Prepare reports related to cohort databases upon request.
  • Update cohort databases at end of each semester and share information with clinical liaison, nursing advisors and SON administration as needed for course/clinical planning purposes.
  • By January 20 and August 1, prepares a list of students who meet GPA criteria and who may be eligible for Sigma Theta Tau membership and give to campus liaison; pre-licensure students entering their 7th or 8th semester, RN to BSN students in Pod 3 (on- and off-campus), and MSN students at least one-half way through the program.
  • Assists the nursing administrative assistant with tasks related to preparation of the pre-licensure state board of nursing applications.
  • Assists the nursing administrative assistant with tasks related to regular surveys including data entry.
  • Enters data into Excel and SPSS databases for analysis as a school.
  • Assists the clinical liaison to provide clinical paperwork to faculty teaching clinical and other key stakeholders as directed.
  • Assists the nursing administrative assistant and the MSN secretarial support as able after completing other duties.
  • Serves as a backup receptionist in the Dean's Office.
  • Other responsibilities as determined appropriate by SON administration.

Qualifications

EDUCATION

Required
  • High school diploma or GED.
SKILLS
  • Organizational skills.
  • Detail oriented.
  • Possesses effective interpersonal skills.
  • Hands-on experience with Word, Excel, and Outlook. Experience with SIS, IUIE, SPSS, and Canvas is desirable.
