Position Overview

We are looking for an enthusiastic, eager, professional Office Manager to join the team at our Manhattan location. This is a great opportunity to work in a collaborative environment among a group of fun and smart professionals. The ideal candidate enjoys organizing and planning, and does so with a strong attention to detail and enthusiasm. You take pride in your personal responsibilities and approach your projects with strong sense of urgency and exceptional customer service.

Overall Responsibilities:

  • Manage office needs and day-to-day operations of our Manhattan office
  • Ensure that the office is maintained with the highest level of care and quality and fully stocked with supplies
  • Assist with the onboarding of new team members
  • Organize office events, and arrange catering or other special requests for any executive or sales meetings
  • Provide support to executive team with scheduling, work-related travel and expense reports
  • Receive and announce guests and visitors to the NPD Group, requires being on-site 5 days a week
  • Maintain log of visitors with or without appointments
  • Receive and respond to calls to the organizations main telephone number
  • Monitor activities in the main reception area and building entries for security purposes
  • Update appointment calendars, manage hoteling space and space for invited guests
  • Responsible for incoming and outgoing mail, FedEx
  • Act as point person for building/facilities related items (AC, repairs, etc.)
  • Continuous monitoring and proactive updating of seating charts and email distribution lists
  • Act as a point of contact for urgent IT related issues (i.e support with technology during client and senior leadership meetings). Work with IT support to troubleshoot issue
  • Special projects as assigned


Qualifications:
  • Professional, energetic, with positive "can do" attitude
  • Bachelor's Degree
  • 5 years of related work experience
  • Attention to Detail
  • Strong organizational and planning skills
  • Great written and verbal communication skills
  • Ability to multi-task and prioritize workload
  • Proven office management, administrative or assistant experience
  • Intermediate Microsoft Office skills (Word, Excel and PowerPoint)
  • Passionate about ensuring a seamless experience for our clients
  • Highly motivated and a team player
