The University of Iowa Hospitals & Clinics, department of Internal Medicine is seeking a Division Administrator to be responsible for the operational, financial and research activities of the Division of Endocrinology and Metabolism. Accountable to the Division Director and the Department of Internal Medicine and collaboration with the University of Iowa Hospital and Clinics and Carver College of Medicine Administration.

Key Areas of Responsibilities and Specific Job Tasks:

Human Resources Management:
• Hire, develop and manage the performance of staff in the division
Develop faculty and APP recruiting pro forma and business plans to include financial analysis of new hires' ramp up, office space, clinic space and needed staffing support. Collaborate with hospital departments to ensure clinical support has been vetted and planned for appropriately
• Manage and oversee support staff within the College of Medicine, including administration and clinical research staff
• Provide supervision to divisions' administrative staff including annual performance evaluations, mentoring, and hiring
• Establish and maintain standards of collaborative interaction among peers and employees that is characterized by respect, honesty, and service; assure that all unit members are held to similar standards and ethics
• Manage the talents, strengths, and behaviors of each individual in a diverse work group, while providing each employee with the opportunity to contribute to the goals of the unit. Work to assure that all employees are respected and treated consistent with university policies regarding equal employment opportunity and diversity
• Inspire and motivate others to high performance by exercising strong stewardship of university resources, setting expectations, measuring success through individual performance evaluations, and driving organizational results
• Identify opportunities for and create development plans that encourage employees to attend to the growth of their personal and professional capacity; engage self and staff in collective reflection of the University's greater role in society

Financial & Data Management & Analysis:
• Prepare and/or assist in budget development; provide projections and recommendations. Manage financial productivity data and monitor budget to meet goals. Resolve budget discrepancies
• Develop Divisions' budget projections, including RVUs for faculty terming and hired. Coordinate with Department of Internal Medicine leadership, including analysis of income and expenditures
• Work with department leadership to develop and maintain the divisions' faculty compensation plan
• Responsible for all fiscal activities, review and approve expenditures. Partner with other departmental staff to maintain and reconcile variances
• Develop and maintain surveillance of professional and technical fee form preparation, protocol and other charge data, recommending modifications when appropriate

Operations, Standards of Care, Regulatory Compliance, Quality & Patient Satisfaction:
• Identify trends and determine QA priorities. Recommend QA and patient/customer satisfaction strategies. Develop and monitor plans to enhance patient satisfaction

Patient Care/Services:
• Identify needs, trends, and forecasts to provide quality patient care
• Work with hospital and college leadership on strategic program planning and execution related to outreach and offsite activities, including partnerships with outside entities
• Review clinical operation activities and make recommendations for changes in, or better utilization of facilities, services and staff. Work to improve patient referral mechanism between all clinical departments
• Participate in the review and development of professional and technical fee schedules and reimbursements as appropriate
• Identify problems of health care delivery, propose innovative ways for their resolution, and successfully implement accepted proposals

Planning & Goal Management:
• Develop action plans for division that meet strategic goals; provide progress reports to the division director, clinical department administrator and other members of division and department leadership
• Work with division director on developing strategic plans for staffing
Communication/Collaboration:
• Advocate for needs of unit with healthcare leaders; may collaborate with medical director of unit regarding program development, process improvements, and equipment budgets

Education Programs:
• Provide clinical education to develop staff competency. Oversee clinical education activities and agreements with other educational institutions

Research Administration:
• Collaborate with research staff to assure clinical and research needs are met
In collaboration with the Division of Endocrinology & Metabolist Director and faculty; oversee research functions in the division including pre-award management. Work with Department of Internal Medicine research post-award staff to develop and report financial projections for PIs
• Provide leadership to clinical trial research staff to promote the division's research portfolio

• Knowledge of and ability to manage effective and smooth operations in a division by utilizing various management principles and technicques
Decision Making and Critical Thinking
• Understanding of the issues related to the decision-making process; ability to analyze situations fully and accurately, and reach productive decisions
Healthcare Regulatory and Environment
• Knowledge and understanding of legislation and regulatory bodies affecting healthcare and clinical research practices
Performance Management
• Ability to apply organization's performance management system, practices, and tools to developing and improving individual, team and organization performance

Required Qualifications:

  • Masters of Hospital Administration, Business, or equivalent combination of education and experience is required
  • Considerable (5 years) directly related administrative experience
  • Extensive experience in fiscal management and administrative related capacity
  • Knowledge of accounting, data processing and personnel administration
  • Excellent written and verbal communication skills
  • Demonstrated knowledge of effective strategies for working with diverse faculty, staff, and students
Desired Qualifications:
  • Experience with pre-award management of federally and non-federally funded grants and/or clinical trial research
  • Considerable knowledge of hospital and departmental policies and procedures is preferred
