Job Summary
The Coordinator of Campus Visits oversees the daily operations of our campus visit programs, managing a team of approximately 75 student staff members. Responsibilities include hiring, training, and evaluating student tour guides and employees who assist with campus visits and summer registration programs. The supervisor ensures the smooth functioning of these programs, facilitating positive experiences for prospective students and visitors to our campus.

Duties & Responsibilities -

Recruitment:

  • Engage and inform prospective students and families about the vibrant opportunities at the University of Illinois, showcasing our campus both on-site and at various off-campus events.
  • Travel to high schools and college fairs, embodying the spirit of the University of Illinois as you interact with students, parents, and attendees, answering their queries and igniting their curiosity about Admissions at Illinois.
  • Take the lead as the primary liaison for high schools and other organizations arranging group visits to our campus, ensuring seamless coordination and unforgettable experiences for our guests.
Campus Visits:
  • Coordinate the recruitment, training, supervision, and evaluation of undergraduate student paraprofessional staff. This includes:
    • Working with student Interns to advertise the student positions and post them on the job board.
    • Organizing and scheduling staff and locations for interviews.
    • Coordinating startup meetings and training sessions for new student employees.
    • Approving timesheets, vacation, and sick time for student employees.
    • Serving as a resource for HR-related questions.
    • Maintaining HR records for reference checks.
    • Developing evaluation measures for student position performance.
  • Oversee the reservation and confirmation process for the more than 35,000 campus visitors each year. This involves:
    • Maintaining users of the EM software.
    • Composing, editing, and sending out confirmation emails for registrants based on the appropriate event.
  • Collaborate with the Assistant Director in planning, executing, and evaluating all on-campus visit programming. This includes:
    • Assisting in creating a yearly visit calendar.
    • Providing dates when student staff may or may not be available.
    • Acquiring knowledge of resources and other events on campus to ensure successful visits.
    • Creating schedules for 70+ student employees for large visit days as well as Daily Visits.
    • Coordinating day-of-program logistics related to parking, staffing, traffic patterns, equipment, and supplies.
    • Serve as a liaison with colleges and departments regarding campus visit programs.
  • Prepare and maintain appropriate periodic/special operations reports and surveys. This involves:
    • Pulling reports from the EM system to maintain a record of visitors and attendance rates for future events.
    • Surveying visitors for feedback and areas of improvement.
    • Generating year-end reports to evaluate yearly goals.
  • Application Review
    • Serve on an Admissions Review Committee, reviewing applicant files for admission to Illinois, reading essays, evaluating transcripts, and making final admission decisions.
Required Qualifications -
  • Bachelor's degree.
  • A minimum of two years of professional experience in admissions, recruitment, student affairs, or a related field; alternatively, one year of direct experience within the unit acquiring relevant applicable skills and knowledge.
  • Demonstrated experience in program planning.
  • Experience working with current or prospective undergraduate students.
  • Valid driver's license

  • Three or more years of professional experience.

Appointment Information

This is a 100% full-time Academic Professional position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The minimum salary for this position is $47,480. We strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The final salary offer will be determined through a thorough assessment of these elements.

Employees hired into this position will be expected to work on-site at the University of Illinois Urbana Champaign campus on a full-time basis. Work authorization sponsorship is not available for this position.
