Construction Contracts Administrator Location: Irvine, CA
Direct Hire w/ full benefits
Base: 65-80k depending on experience level

The Role:
We have an immediate need for a Contract Administrator/Project Coordinator specifically experienced in the construction industry. Ideal candidate would have basic knowledge of contracts and change orders, preliminary notices, releases, collecting/tracking certified payroll, insurance requirements and verification (as well as OCIP/CCIP), and AIA percent complete billings. MUST be Excel proficient. Timberline/Sage, Textura, and Procore software usage is a plus.
What You Will Be Doing -Review all contracts for terms and requirements for new jobs and mark up as necessary to conform to companys terms.
-Prepare job folders to include all necessary information.
-Enter new projects into accounting software including job, location, budgets, and billing information.
-Prepare and mail Preliminary Notices in accordance with specific state requirements.
-Order insurance certificates for new projects in accordance with contract requirements.
-Prepare OCIP documents if required and submit to management as necessary.
-Prepare and submit new project information to management and others as needed.
-Request purchase orders from builders for payment as needed.
-Prepare change orders as requested.
-Other office duties as assigned.
What You Need for this Position -2-5+ years of experience in a contracts administrative and/or project coordinator role within the construction industry
-Understanding of procurement/sourcing and contract activities.
-Understanding of the invoicing process, Accounts Payable etc.
-Experience with financial management software.
-Highly self-motivated and customer centric.
-Desire to meet and exceed agreed service levels.
-Excellent interpersonal skills including great communication.
-Knowledge of Google G Suite, including: Docs, Sheets, Slides, and Drive.
-Strong people management skills. Stakeholder management is key in this role.
-Able to apply governance, maintain quality and rigid QA/QC.

Additional desired skills:
Construction administration experience and knowledge of construction contract terms
Problem solving strong attention to detail, excellent analytical skills, and the ability to identify and resolve problems in a timely manner.
Communication strong verbal and written communication skills.
Planning / organizing ability to work independently, demonstrates accuracy and thoroughness, prioritizes and plans work assignments, organized and uses time efficiently to meet deadlines.
Adaptability adapts to changes in work environment, manages competing demands, and is able to deal with change, delays or unexpected events.
Dependability the individual is consistently at work and on time, follows instructions, responds to management direction, and solicits feedback to improve performance.
Ability to learn new software quickly.
