Administration I Positions

Administration I position are entry level position that are needed to support US. Army. Staff overall duties is to support Visitor In and Out processing for personal coming on site. Work is for two shifts. Night Shift 5.30PM to 2am and 10pm to 6.30am. Entry level position can lead to higher level positions over time.

Requirements:

  • High School Degree or GED
  • Familiar with MS Office Suite including notes
  • The contractor shall provide internal customer support, reflecting a high degree of competency, courtesy, and professionalism. Provide customer service to internal clients (employees, manager, contractors and visitors to the base).
  • Understanding of General Administration task) in a professional manner.
  • Provide primary administrative support to multiple of groups with U.S. Army and to be cross trained in other areas to provide support when needed (e.g. Space Management Training, Event Planning/Management, Audio/Video Conferencing, etc.)
  • US Citizen
  • Must pass background check.


  • Preferred but not required.
  • Associated Degree or higher in Administration, Business Management or related field.
  • Fluent in MS Office and other business applications.
  • Fluent in AR regulations
  • Background in supporting R&D, Medical, Health or Biomedical staff.

  • Duties:
  • Manage assigned equipment, office and front reception desk space. Contractor shall be responsible for managing assigned equipment. Issues or movement of equipment shall be documented to the COR immediately. Office and front reception desk space shall be kept tidy and any issues or concerns should be documented and elevated to the COR
  • Greet Visitors and process visitor passes.
  • Provide continuous in-person support at the staff duty desk.
  • Manage phones. Contractor shall be responsible to answer incoming calls, determine purpose of call and transfer call, takes and deliver detailed messages (including caller's contact information) to the appropriate office or staff member. Supply appropriate information regarding the organization to the general public and internal customers. DO NOT disclose telephone numbers or personal/sensitive information to outside callers. Use (when appropriate) current on-call listings, alert rosters, and directories on designated offices.
  • Provide visitor escorts. Meet at visitor control point, sign in, escort while in the facility, return to visitor control point and ensure signed Ensure that all visitors, guests and vendors sign in and out and notify appropriate department or point-of-contact (POC) that visitor/guest has arrived via log book and on DA Form 1594 (Staff Duty Journal). Contractors shall collect a U.S. Government-issued photo identification card from visitors, guests, and vendors, such as a driver's license, and provide the proper visitor's badge for use at all times while inside the facility.
  • Support In and out processing. Shall support Military, Civilian, and other contractor in and out processing. Shall provide required paperwork, checklists, and shall assists with training Additionally, contractors shall sign Soldiers in and out of leave. In the case of newly reporting individuals, contractors shall collect a copy of their orders and leave form.
  • Manage assigned equipment, office, and front reception desk space.

  • Manage files and documents in accordance with Army Records Information Management System (ARIMS).
  • Create and maintain continuity books. Contractor shall provide continuity books and checklists for all recurring tasks assigned. Contractor shall update continuity books as required due to process changes within the division.
  • Calendar management. Contractor shall manage Outlook and conference room calendars by scheduling requested appointments/meetings, de-conflicting appointments/meetings, coordinating across multiple personnel and departments as needed
  • Meeting support. Contractor shall be responsible to schedule conference rooms, schedule bridge lines and Video Teleconferences (VTCs), ensure rooms are prepared, prepare and finalize agendas, distribute meeting materials prior to meeting, ensure conference calls and VTCs are connected prior to meeting commencement, take notes/minutes when requested, provide action items and decisions captured for each meeting to the
  • Hand Receipt Inventory and documentation: Contractor shall assist hand receipt holder(s) with required documentation, property passes, and inventory Contractors shall ensure accountability of WRAIR staff duty badges, visitor badges, keys, cell phones, radios, and pagers.
  • Lead ARIMS Coordinator. Contractor shall provide a lead and alternate ARIMS record coordinator to provide support to offices
  • Fire Warden. Contractor staff shall serve as alternate Fire Wardens based on physical location within the facility. Staff appointed to this duty will be documented in formal orders that will be published to the
  • Accountability Officer/Space Coordinator/Work Order Contractor staff shall serve as alternate Accountability Officers/Space Coordinators/Work Order Coordinators based on physical location within the facility.   • Defense Travel System (DTS). Contactor staff shall assist in creation of government travel authorizations and vouchers.
  • Training tracking. Contractor shall prepare and maintain a monthly report showing mandatory training requirements compliance to be included in the Monthly Report. Contractor shall ensure notification for upcoming mandatory training deadlines to supported personnel and shall coordinate with internal and external training POC's to ensure training completion status is updated in required systems for supported staff. Contractor shall update and maintain training status in Digital Training Management System (DTMS) for supported
  • Supply inventory and management. Contractor shall maintain levels of office supplies for supported staff. Contractor shall ensure supply room is neat and orderly. Contractor shall collect, organize and prepare supply orders within supported
  • Contractor shall collect shred materials for Command Suite and Special Staff sections weekly. Collected materials will be delivered to designated shredding collection point within the compound.
